Documentation

Once your Knowledge Base has at least a few projects and team members, you are ready to generate your first proposal.

Step 1: Go to the Response Engine Click Response Engine in the left sidebar. This is Scout's 3-step proposal generation wizard.

Step 2: Upload your RFP Drag and drop your RFP document into the upload zone or click to browse. Scout accepts PDF, Word, and text files up to 10MB. Scout AI will read the document and automatically extract the project title, deadline, budget, building type, evaluation criteria, submittal requirements, and 80+ additional fields.

Step 3: Select your projects and team Choose the past projects from your Knowledge Base that best match this RFP. Select the team members you plan to include. Add any decision maker names, LinkedIn URLs, or the client organization website and Scout AI will research them automatically before generating.

Step 4: Generate Click Generate. Scout AI will read the RFP, match your projects and team, research the client, and write a complete tailored proposal. The process takes under 2 minutes. When it is done your full proposal draft appears on screen ready to review, edit, and approve.

Step 5: Review and approve Read through the generated draft. Make any edits directly in the editor. When you are happy with the content click Approve. The proposal is saved to your RFP Vault and is ready for team collaboration or final design.
